Analysis and solution design of document management

Abstract:

Hlavním předmětem bakalářské práce je analýza současného stavu toku dokumentace v české pobočce velké firmy zabývající se výrobou kolejových vozidel. Součástí je také nově nevrhnuté řešení, které by mělo snížit náklady a ušetřit čas pracovníků v této firmě. Hlavním cílem je navrhnout takové řešení, které v budoucnu sníží náklady oproti stávajícímu chodu dokumentů. Mělo by být ekonomické, splňovat všechny požadavky organizace a podobně náročné, jak hardwarově, tak i na obsluhu. Práce popisuje stávající systém dokumentace, která je spojená s výrobními procesy ve firmě. Dále definuje nejdůležitější skupiny dokumentů, které jsou určeny pro výrobu a procesy jednotlivých oddělení. Na základě této analýzy je navrhnut komplexní ERP systém pro správu a řízení výroby, který je spojen se správou dokumentace (Dokument Management Systém -- DMS) založený na WORKFLOW a rovněž i systém správy životního cyklu výrobků( Produkt LifeCycle management -- PLM). Dále pak zvětšení výbavy kontrolorů o tablety a najmutí administrátora tisku. Práce je rozdělena do pěti hlavních kapitol. První kapitola obsahuje teoretické základní pojmy, které jsou spojeny s problematikou správy dokumentů, druhá kapitola popisuje analyzovaný podnik, samotné typy dokumentů a prostředí, ve kterém se dokumenty vyskytují a jsou v něm vytvářeny. Třetí kapitola analyzuje samotné procesy toku dokumentů jednotlivých oddělení, která se týkají samotné výroby. Čtvrtá kapitola popisuje současný stav, jeho nedostatky a v páté kapitole je popisován návrh řešení.

Abstract:

The main subject of the thesis is to analyze the current state of flux documentation in the Czech branch of the large company engaged in the production of rail vehicles. Included is also a newly proposed solution, which should reduce costs and save time of workers in the company. The main goal is to design a solution that will reduce the running costs compared to the current flux of documents. It should be economical, meet all the requirements of the organization and similarly challenging, both hardware and servicing. The thesis describes the current system of documentation that is associated with production processes in the company. It also defines the most important group of documents that are intended for the production and processes of each department. Based on this analysis, it is suggested a comprehensive ERP system for administration and control of production, which is connected with the Document Management System (DMS) based on workflow, as well as a system of Product Lifecycle Management (PLM). Augmentation of equipment of the controllers with tablets and hiring printing administrator is also suggested. The thesis is divided into five main chapters. The first chapter provides the basic theoretical concepts that are associated with problems of document management. The second chapter describes the analyzed company, the actual document types and environments in which they occur and documents are created in it. The third chapter analyzes the actual process of flux of documents of each department relating to the production itself. The fourth chapter describes the current state with its shortcomings, and in the fifth chapter a proposed solution is described.
