The complex solution of the file service in FN Brno

Abstract:

Spisová služba je z pohledu správy dokumentů páteřní systém, který je nadřazen ostatním procesům a informačním systémům v organizaci (např. účetnímu, či jednotlivých agent). Skládá se z legislativních opatření, pravidel a vnitřních úkonů organizace, které mají za účel efektivní nakládání s dokumenty organizace a upravují jejich příjem, oběh, vyřizování a odesílání, evidenci, ukládání a vyřazování. Smyslem spisové služby je co nejjednodušší nakládání s dokumenty při současném vyhovění všem požadavkům příslušné agendy. Spisová služba musí brát ohled na právní a skutečnou hodnotu dokumentů, včas vyřazovat dokumenty, které jsou již nepotřebné pro provoz organizace a jejichž právní hodnota pominula, a zároveň pečovat o dokumenty s právní nebo historickou hodnotou. Aby spisová služba mohla plnit tyto úkoly, musí být vedena jednotně a racionálně s přesnou evidencí veškerých dokumentů potřebných k činnosti organizace.

Abstract:

The file service is the basic information system of the organization from the point of view of the state administration. It is the main information system which is superior to all other information systems like the accountant system or other individual agendas. It consists of the legislative arrangements, rules and internal matters which all together assure the effective handling of the company documents. The file service also arranges receiving, running, disposal, sending, audit, storing and shredding. The main target of the file service is the sophisticated document handling when fulfilling all demands of its agenda. The file service has to consider the legal and the real value of documents. It must provide the early shredding of the documents which are not important for the running of the organization or which legal value has run out. It must also take care of the documents with the legal or historical value. To fulfill all its duties it is necessary to manage the file service uniformly and with the precise evidence of all the documents necessary for the company daily work.
